Time Saving Apps
Apps that can give you time back in your business day.
As small business owners, we often have lots of things to do – we need to be great at multi-tasking. But how can you stay on top of things all the time where ever you are?
You can do this by using time-saving apps. If you google time-saving apps, there is a lot out there. Apps to help manage projects, digital to-do lists, time trackers, messaging apps etc., but which ones will actually help your business?
Today I will go through some of the ones I use and explain what they are and how they can help your business.
Trello is an app that in its basic form is a ‘digital to-do list’. You can create boards which you then move your tasks along as you complete them. For example, you can create a board that is ‘to-do’, another that is for ‘in progress’ and one for ‘completed’. You then create your tasks including as much info in them such as due date, relevant information and even set a date reminder to make sure you complete. Then as you work on each task, you move it from the ‘to-do’ column into the ‘in progress column’. Then when the task is completed, you can move it to the ‘completed column. This way you can have multiple tasks going at once but not lose track. Trello also has a section where you can put notes and comments so you can see where you are at easily.
Toggl is an app that allows you to track the time you spend working on projects. I use it to track the time I am spending on client work and also, business projects like time spent on marketing and social media etc. By tracking your time, you can then see how much time is needed for upcoming projects and allocate appropriate time. You can allocate each time track to a project, a client and give that task a label. Also what I find really helpful is the ability to run reports so you can monitor how much time you have spent on a task/client over a period of months.
Just recently, Toggl also branched out into Toggl plans and Toggle Hire to manage your projects and help hire the right people for your business. I have not used Toggl Plan or Toggl Hire but am interested to see where these additional elements work. Toggle is a free app that can be used on both your laptop/pc and phone.
Asana is a project management app that is used to easily manage projects and tasks. The free plan is for individuals and allows you to manage unlimited personal tasks and projects, collaborate with up to 15 team members, unlimited messaging, and more.
It is great for teams, allowing you to track and monitor tasks that your team is working on, share files, and chat. Asana is free to use as an individual, but you will need to pay for the premium plan.
Lastpass is an app that is designed to save all your passwords in one place securely. This ‘vault’ allows you to save the passwords in folders, for organization and to share securely with those in your team if needed. Lastpass is a free app that can be used on a mobile device or laptop/pc but, as of April 2021, they are now limiting the total amount of devices you use to one per free plan. Therefore, if you have Lastpass on say your phone/tablet and pc, then you will have to choose to have it on just one or pay to have it on both.
I have been using Lastpass for years, and have found it easy to use, and beneficial to my business.
Dropbox is an amazing cloud-based file sharing and storage system that is secure and provides a central storage access point, allowing for easy file sharing and collaboration. Dropbox is free for individuals. Dropbox for business is an extension of this, that has paid plans with varying amounts of storage to suit all business needs.
There are more apps being developed every day, that can save you time in your business from accounting and point of sale programs right through to the day-to-day running of your business. They all have many benefits and can be used in a multitude of businesses. Do not be afraid to try something new that can help you gain much-needed time back in your day. You have nothing to lose but lots of time to gain!
